Processing of personal data of applicants via the dena application portal

We, Deutsche Energie-Agentur GmbH (dena) – the German Energy Agency – would like to inform you below about the processing of personal data of applicants in our dena application portal.
If you use our online application portal to respond to the jobs advertised there, we collect and process your input for the purpose of processing your application. The legal basis for doing so is the performance of measures at the request of the data subject prior to entering into a contract (Art. 6(1) sentence 1(b) of the GDPR).
If you are recruited, we will add the data you provided to your personnel file and process it in accordance with Art. 6(1) sentence 1(b) of the GDPR for the performance of the contract.
Data provided by applicants who are not recruited will be stored for another 6 months following the rejection in order to protect dena’s legitimate interests in accordance with Art. 6(1)(f) of the GDPR and then erased, unless you have expressly consented to this data being stored for a longer period in order to be considered for other job openings (legal basis Art. 6(1)(a) of the GDPR) and/or if dena needs this data in order to establish, exercise or defend a legal claim.
Our online application portal allows you to provide us in particular with your name, address, other contact details (e.g. email, telephone number), information on your education and career history, CV, certificates and other qualifications.
Personal data collected in the context of applicant management and processed through the use of Persis will not be passed on to third parties.
The provider Atoria – the people software GmbH necessarily obtains knowledge of the above-mentioned data in the course of processing.
