The dena whistleblower system

By means of the Whistleblower and Ethics Reporting Channel, dena offers the opportunity to report indications of compliance violations in a confidential environment.

The service is operated by PricewaterhouseCoopers GmbH Wirtschaftsprüfungsgesellschaft (PwC). PwC is responsible for processing and reviewing the information provided within the framework of the legal requirements.

Comprehensive early warning system enables rapid action

The whistleblowing system used by dena acts as an early warning system to identify any irregularities in the company and to initiate effective countermeasures – regardless of whether these irregularities are due to individual misconduct or errors that are inherent to the system. The reporting system is not only available to dena employees, but also, for example, to employees of service providers or agencies commissioned by dena.
The following issues, among others, can and should be reported via the whistleblower system if they have arisen in connection with dena’s activities:

  • Violations of applicable law, such as human or environmental rights
    (according to Art 1 and Art 20(a) of the Basic Law, among others)
  • Sexual harassment and assault
  • Bribery and corruption
  • Embezzlement, fraud and misappropriation
  • Other conflicts of interest

The information and the personal data and identity of the person providing the information are known exclusively to the person responsible for receiving and processing the report. Unless required by law, personal data will only be passed on with the express consent of the person who is making the report. The reporting service also does not have access to the personal data of the whistleblower.

Tips for submitting notices

The dena reporting system offers the option of submitting information anonymously. However, the effective processing of the information received is facilitated by the provision of personal (contact) data. In particular, this makes it possible to investigate or clarify the facts in greater depth. The facts in the specific case should be described in as much detail as possible. Whistleblowers can use the following questions as a guide when drafting their notification:

  • What kind of violation has taken place?
  • How was the violation committed?
  • Who was involved in the incident (persons, company name)?
  • Where did the incident take place (project name, location, digital space)?
  • When did the incident take place (period, date)?

PwC investigates all reported reports of violations and ensures a consistent and fair investigation. A standardised and transparent processing procedure with defined feedback deadlines was developed for this purpose. All bodies involved ensure that the whistleblower does not suffer any negative consequences.
