Data protection information for video conferences, conference calls and webinars via Zoom, Cisco Webex and Microsoft Teams
We, Deutsche Energie-Agentur GmbH, would like to inform you below about the processing of personal data in connection with the use of Zoom, Cisco Webex (Webex) and Microsoft Teams(Teams).
We use the tools Zoom, Webex and Teams to conduct video conferences, telephone conferences and webinars (hereinafter referred to as "online meetings").
Data processing is carried out in accordance with Art. 6 para. 1 lit. b GDPR, insofar as the online meetings are conducted in the context of contractual obligations.
If there are no contractual obligations, Art. 6 para. 1 lit. a GDPR can be used as the legal basis if participation is voluntary.
Various types of data are processed when using video conferencing systems. The scope of the data also depends on the data you provide before or when participating in an online meeting.
The following personal data is subject to processing:
Participant information: Name, e-mail address and, if applicable, telephone number of the participants.
Audio and video data: Spoken content, video recordings and, if applicable, screen sharing.
Chats and files: Texts, shared files or links that are sent during the session.
Connection data: IP address, device information and data at the start and end of the session.
We use video conferencing tools to conduct online meetings. If we want to record online meetings, we will inform you transparently in advance and, if necessary, ask for your consent. The fact of the recording is displayed in the app.
If it is necessary for the purposes of logging the results of an online meeting, we will log the chat content. However, this will not usually be the case.
Personal data processed in connection with participation in online meetings will not be passed on to third parties.
Other recipients: The providers of Zoom, Webex and Teams necessarily receive knowledge of the above-mentioned data as part of the respective order processing. The respective provider will only have access to the data to the extent necessary to provide the corresponding service.
Zoom, Webex and Teams are services provided by providers from the USA. Personal data is therefore also processed in a third country. We have concluded an order processing agreement with the provider of Zoom, Webex and Teams, which fulfils the requirements of Art. 28 GDPR.
An adequate level of data protection is guaranteed on the one hand by the conclusion of the so-called EU standard contractual clauses. Furthermore, the providers are certified in accordance with the EU-U.S. Data Privacy Framework (DPF). As additional protective measures, we have also configured the providers in such a way that only data centres in the EU, the EEA or secure third countries such as Canada or Japan are used for online meetings.
